Xero invoice reminders

Chase overdue Xero invoices from your own inbox

Export your invoice list from Xero, drop the CSV into PayBirch, and polite reminders go out from your own email address, written for each client.

How it works

From a Xero export to a xero payment reminder email, in minutes

1

Export a CSV from Xero

Export your invoice list from Xero as a CSV file.

2

Import with AI

PayBirch's AI maps the columns automatically, skips rows already paid and any duplicates, and shows you the result to review before saving.

3

Reminders go out from your inbox

Once imported, reminders send from your own connected Gmail or Outlook, on the schedule you set.

Why your own inbox

Chase Xero invoices without a shared, unfamiliar sender address

  • Replies land in your own inbox, not a separate tool you have to check.
  • Clients see your name and your email address, not a generic noreply sender.
  • Each reminder is written for that client and that invoice, with a tone that only steps up when you want it to.

That's the idea behind a xero overdue invoice reminder sent through PayBirch: the follow-up still looks and feels like it came from you.

When the client replies

The AI Reply Assistant reads it for you

Paste a client's reply and the AI Reply Assistant tells you what it means — for example, that they're promising to pay on the 30th — drafts an answer for you to send, and lets you pause reminders until that date.

Xero's reminders vs PayBirch

Two different tools, not a replacement

Xero has its own built-in invoice reminders that work inside Xero. PayBirch is a separate tool: you export your invoices as a CSV and chase them with reminders that send from your own Gmail or Outlook, written for each client, with help answering replies through the AI Reply Assistant. There's no sync between the two, so once an invoice is paid, mark it paid in both Xero and PayBirch.

FAQ

Xero overdue invoice reminders, answered

No. PayBirch doesn't integrate with Xero or sync with it in any way. You export a CSV of your invoices from Xero and import it into PayBirch — there's no live connection afterward.

A client name or email, an amount, and a due date. PayBirch's AI finds and maps these columns automatically from your Xero export — you don't need to rename or rearrange anything first.

Rows already marked paid in the export are detected and skipped automatically during import, along with duplicates. For an invoice that gets paid in Xero later, mark it paid in PayBirch too — there's no sync, so reminders only stop once you do.

Yes. Every sequence can be set to send automatically or to wait for your approval before each step goes out.

Gmail and Outlook. Reminders send from your own connected mailbox, not a shared PayBirch address.
